Employer Self-Service User Guide: Tax and Wage Detail Reporting

Adjustments

Discrepancies based on submission errors, modifications, or adjustments are managed using the Minnesota Unemployment Insurance online Employer Self-Service System. Adjustments can be submitted manually or as an uploaded file. Corrections to a Social Security number must be adjusted manually. The process allows employers to select the quarter and year, specific Social Security number record, adjust the record, and recalculate taxes due. The adjustment may go to an Unemployment Insurance Customer Service Representative for review.

IMPORTANT

Any employer that submits a wage detail report, but fails to include all employee information or enters erroneous information, shall be subject to an administrative service fee of $25 for each employee for whom the information is partially missing or erroneous. An administrative service fee may be canceled under certain circumstances.

Manual Adjustments

Step-by-step instructions to make a manual adjustment to a wage detail file:

  1. Go to www.uimn.org, click on Employer Login.
  2. Enter your User ID and Password, click Login.
  3. On My Home Page, click on Tax and Wage Detail Reporting.
  4. Click on Adjustment.
  5. Under ‘Prior Quarter Search’, select the quarter and year to be adjusted from the drop down menu, click Search.
  6. Select the radio button next to the search result to be adjusted, click Next.
  7. Under 'Filing Methods', select Manual Entry – Adjust individual wage records manually online, click Next.
  8. Click on the checkbox(s) under ‘Adjust’ for the employee(s) to be adjusted, then Next.

NOTE: To make adjustments to multiple employees showing on different screens, select the employee(s) on each screen to be adjusted, then click on Save. Do this for each screen. Once all employees have been selected and saved, click Next.

  1. Make the correction, click Save, then click Next.

NOTE: If a Social Security number was reported incorrectly DO NOT delete the line, simply correct the Social Security number.

  1. Review 12th of the month information and update if necessary, click Next.
  2. Review the Adjustment Confirmation Summary screen, click Next.
  3. Select a reason from the drop down menu, enter an explanation in the text box, click Save, then click Next.

NOTE: If an explanation is needed for your adjustment you must choose 'Other-explain' under ‘Reason’ and enter your reason in the ‘Explain’ box.

  1. Review adjusted totals, click Submit Wage Adjustment.
  2. Wage Detail Adjustment Confirmation screen will display, click Make Payment if payment is due.

NOTE: All owners/officers must be listed in the ‘Maintain Owner/Officer’ section of the Minnesota Unemployment online Employer Self-Service System. If an owner/officer is having wages removed during an adjustment but is not listed in the ‘Maintain Owner/Officer’ section the adjustment will not be approved.

Uploaded Adjustment file

An originally submitted wage detail file can be adjusted by uploading a new file. The same file formats available for submitting an original wage detail file must be used for submitting an adjustment file. The uploaded adjustment file will be listed as an 'Adjustment'; only the original file will be listed as ‘Original’.

Step-by-step instructions to upload an adjustment file (less than 5 kilobytes):

  1. Prepare the adjustment file to be uploaded using one of the file formats described in the File Upload Method section.
  2. Go to www.uimn.org, click on Employer Login.
  3. Enter your User ID and Password, click Login.
  4. On My Home Page, click on Tax and Wage Detail Reporting.
  5. Click on Adjustment.
  6. Under 'Prior Quarter Search', select the quarter and year to be adjusted, click Search.
  7. Select the radio button next to the search result to be adjusted, click Next.
  8. Select File Upload, click Next.
  9. Select the radio button for the file type that matches the format of your adjustment file, click Next.
  10. Click Browse to locate your file. Select the name of the file to be uploaded, then click Open. The title of your wage detail file should appear in the ‘Browse’ box, click Next.

NOTE:

  • Files with less than 5 kilobytes of data:
    • If there are no errors on the adjustment file, continue with step 9.
    • If there are errors on the adjustment file, the File Errors screen will display indicating the line number and error type. If the error type is fatal, that adjustment cannot be processed. The file will need to be corrected and then re-submitted. If you have Non-Fatal errors listed, you can select the radio button Ignore Errors and Continue, click Next to continue; however, it is recommended that you correct all errors before submitting the file.
  • Files with more than 5 kilobytes of data:
    • Wage Detail Submission Confirmation screen displays indicating your records have been saved and will be processed within 24 hours. After 1-2 days, you will be able to view the submission status. For instructions on viewing the submission status, go to “Instructions for files larger than 5 kilobytes”.
  1. If there are no errors, click on Accept file and proceed, and then click Next.
  2. Enter or modify the number of employees employed during the payroll period that includes the 12th of each month, click Next.
  3. Review the employer adjustment, if correct, click Next. (If incorrect, correct adjustment file and re-submit)
  4. Select a reason from the drop down menu and enter an explanation, click Save.
  5. Wage Detail Adjustment Reason Verification screen will display, then click Next.
  6. Wage Detail Adjustment Calculations screen will display the amount due, click Submit Wage Adjustment.
  7. Wage Detail Adjustment Confirmation screen will display, click Make Payment if payment is due.

Instructions for files larger than 5 kilobytes

Step-by-step instructions to view submission status for files more than 5 kilobytes:

  1. Go to www.uimn.org, click on Employer Login.
  2. Enter your User ID and Password, click Login.
  3. On My Home Page, click on Tax and Wage Detail Reporting.
  4. Click on View Submission History.
  5. If errors are produced, click on Tax and Wage Detail Reporting, then click on Adjustment to correct the errors.
