Employer Self-Service User Guide: Tax and Wage Detail Reporting

File Upload Method

With this method, you will first need to create a file using your quarterly wage data. This file must be in one of the following online filing method formats:

NOTE: Wage information can easily be submitted online using a simple spreadsheet application, such as Excel or QuatroPro, to create a comma delimited file. Below are links to a formatted Excel template and instructions for converting wage detail information populated in the Excel file template to a .csv file:

Submit the File

Once you have created a file on your computer with your quarterly wage information, you can submit it through the Minnesota Unemployment Insurance online Employer Self-Service System.

IMPORTANT

Any employer that submits a wage detail report, but fails to include all employee information or enters erroneous information, shall be subject to an administrative service fee of $25 for each employee for whom the information is partially missing or erroneous. An administrative service fee may be canceled under certain circumstances.

Step-by-step instructions to submit the file:

  1. Go to www.uimn.org, click on Employer Login.
  2. Enter your User ID and Password, click Login.
  3. On My Home Page, click on Tax and Wage Detail Reporting.
  4. Click on Submit Wage Detail.
  5. On the next screen, under ‘Reporting Period’, select the quarter and year for which you are submitting data.
  6. Under ‘Filing Methods’, select File Upload - Attach electronic wage file, click Next.
  7. Select the file type that matches the format of your file, click Next.
  8. Click Browse to locate your file. Click the name of the file to be uploaded, and then click Open. The title of your wage detail file should appear in the ‘Browse’ box, click Next.

NOTE: If your wage detail file has less than 5 kilobytes of data, continue with step 7. If the file has more than 5 kilobytes of data, your file will go to batch (offline) processing and a message will display to check the processing results at a later time. Go to the section, “Instructions for files larger than 5 kilobytes” to continue.

  1. The next screen will show the first 10 records of your wage detail report file. If the information displayed is correct, click on Accept File and Proceed, then Next. (If incorrect, click on Make Corrections and make necessary corrections to the original file located on your computer, then re-submit by starting over with step 1.)
  2. The next screen displays the total number of employees employed during the payroll period that includes the 12th of each month. The totals are displayed for each reporting unit number and for each month of the quarter. You can correct the totals on this screen, click Next.
  3. Wage Detail Report Summary screen displays, if correct, click Next.

NOTE: At this point, to make any changes, you must make them to the original file located on your computer, then re-submit file by starting over with step 1.

  1. Review the total amount due, click Submit Wage Detail.
  2. Wage Detail Submission Confirmation screen displays with a confirmation number. At this point, you can choose to make a payment by clicking on Make Payment and completing the following steps:

    1. Select the statement period and year from the drop down menu, then click Search if you want to view the balance of a previous statement period; otherwise, click Make Payment.
    2. Employer Payment Information screen will display. Enter the payment amount and select payment method from drop down menu, click Next.

    Paper Check Method:

    • Paper check payment information displays, click Next.
    • A File Download box will display. Click Open to view the payment voucher or click Save to save the voucher to your computer.
    • Submit the lower portion of the voucher along with your check to the specified address.

    Electronic Payment Method:

    • Enter Routing Transit Number, Bank Account Number, Account Type (from drop down menu) and Payment Effective Date. Click Next.
    • Review Electronic Check Payment Information, click Submit.
    • Receipt of Payment displays.

Wage Detail Batch Processing Times

Wage Detail Batch Processing occurs once in the morning and once in the afternoon each business day (excluding state holidays). Files processed later in the day can be viewed the next business day.

  1. Go to www.uimn.org, click on Employer Login.
  2. Enter your User ID and Password, click Login.
  3. On My Home Page, click on Tax and Wage Detail Reporting.
  4. Click on View Submission History.
  5. Select the quarter and year you want to view, click Search.
  6. The next screen will display a confirmation number if the file processed.
  7. If there are errors in the file, there will be a link in the 'File Errors' column.
  8. Click the Errors link.
  9. The next screen will display further details about the errors in your file. Errors will be labeled either fatal or non-fatal. Non-fatal errors should be corrected; however, these errors do not prevent the record or file from processing. Non-fatal errors caused by invalid Social Security numbers should always be corrected or the Employer Self-Service System will incorrectly calculate the taxable wages. A file with fewer than 50 fatal errors will process, but the records (or lines) having the fatal errors will not process. A file with 50 or more fatal errors will cause the entire file to fail.
